Email platform migration

Moved a business's mailboxes from a legacy hosted email provider to Microsoft 365.

The goal

A business was running its email on a legacy hosted provider and wanted to move to Microsoft 365 for reliability, security and better collaboration tools.

What I did

  1. Planned the move. Prepared the mailboxes on Microsoft 365 before any mail was switched over.
  2. Migrated the mailboxes from the legacy provider to Exchange Online.
  3. Updated DNS. Pointed the domain’s mail records at Microsoft 365 so new mail arrives in the right place.

Outcome

The business’s email now runs on Microsoft 365.

What others can learn

  • DNS is the switch. Mail flow changes when the records change, so plan that moment carefully.
  • Use the move to add protection. A migration is the ideal time to switch on MFA and set up email authentication (SPF, DKIM and DMARC).
  • Tell users what will change. A short note about the new sign-in experience prevents most support calls.
